& Founder Kevin R. O’Neill. As a true confidant and partner of the CEO, you
exude professionalism, high-energy, confidence, self-monitoring, and
intellect. You anticipate needs and take
initiative to complete actions that improve productivity and relieve the CEO of
administrative detail. You leverage your superb organization skills and
attention to detail to meet the urgent needs of multiple projects and agendas in
a fast-paced, deadline-driven environment. A position of great responsibility
and trust, you maintain strict confidences and take true ownership of the office
workflow. You work well independently, learn and think quickly, and communicate
professionally.

Position Description:
- Working
directly alongside the CEO, you will seek to be of maximum assistance.
- Demonstrate
commitment, consistency, and care; upholding expectations of
professionalism, character, and integrity.
- Complete
projects, tasks, and travel arrangements with high standards, efficiency,
and precision.
- Manage,
organize, and prioritize
multiple activities and agendas, making constant progress towards
deadlines and results.
- Ensure all CEO deadlines are met with an emphasis on client
satisfaction –anticipating the needs of the CEO.
- Interface with high level
internal and external contacts requiring considerable discretion,
initiative, and mature judgment.
- Handle phone messages, email,
and executive level communications and issues as necessary.
- Maintain and optimize calendar by arranging and
coordinating meetings, appointments, conference calls, travel, webex, etc.
- Be flexible and responsive to
changes in direction and prioritization of responsibilities under
time-sensitive and frequently shifting deadlines.
- Prepare, track, proofread, and
process highly confidential reports, correspondence, documents, notes,
expense reports, and administrative records. Ensure all are up to date,
accurate, appropriately categorized, and distributed.
- May also oversee other office
management duties as needed.
Candidate Specification:
- Administrative experience supporting Senior Leadership
- Strong project management experience
- Possess a high level of integrity and ability to handle extremely sensitive and confidential materials and discussions.
- Self-sufficient and proactive with exemplary organizational skills and ability to anticipate needs
- Keen ability to be assertive when necessary to get desired results.
- Knowledge of administrative/business procedures and
terminology
- Proficient in Microsoft Office: Word, Excel,
PowerPoint, and Outlook.
- Must
possess the ability to analyze situations, solve problems, and make
reasonable judgments consistent with responsibilities and company
policies.
- Excellent interpersonal and written communication
skills a must.
- Demonstrated use of proper grammar, spelling and
punctuation when reviewing and/or editing documents for accuracy and
completeness.
- Must
be committed to quality service and client satisfaction.
- Must
be able to work independently and as part of a team.
- Associates or Bachelors degree preferred.
